Job Description

Summary The purpose of this job is to provide administrative services for shop
operations and the general maintenance of the company’s internal fleet.


Essential Functions

1. Ensure the accuracy of shop functions including repair orders,
inventory, invoicing, and other reporting mechanisms

2. Respond to calls for repairs, initiate repair order (RO) document, and
communicate status of repairs to Drivers and Region Transportation
Managers (RTM)

3. Coordinate scheduling of inspection and preventative maintenance
with Drivers, RTMs, shop team members, and external vendors; ensure
completion of work before due dates; distribute all required federal
documentation to appropriate vehicle and support center team for
purposes of filing

4. Complete shop administration functions to include payroll, parts and
supply orders, and company facility and equipment inspections

5. Issue parts to mechanics, maintain inventory, and ensure that ROs are
correctly detailed at time of parts distribution

6. Monitor inventory levels based upon a predefined minimum/maximum
order setting, order parts when needed, and execute all stages of
inventory transactions in shop operations system

7. Prepare all shop related invoices for processing at Sales and Support
Center

8. Perform daily, weekly and monthly physical audits of all shop inventory,
tools, and shop-related items

9. Model behaviors that support the company’s common purpose; ensure
guests and team members are supported at the highest level

10. Ensure all activities are in compliance with rules, regulations, policies,
and procedures

11. Complete other duties as assigned



Qualifications
• High School diploma or equivalent certificate required

• Associate or bachelor’s degree in accounting, supply chain, or logistics
degree preferred

• Minimum two years’ experience with heavy truck parts sales or
inventory preferred

• Minimum one years’ experience in a customer service position
preferred

Specialized Knowledge

• Intermediate Microsoft office skills

• Knowledge of inventory control and bin locating preferred

• Experience as a service writer and experience with Heavy Duty Class 8
trucks and trailers preferred

• Excellent written and verbal communication and listening skills

• Ability to positively interact with Team Members and shop co-workers

• Ability to multi-task and manage multiple responsibilities successfully in
a dynamic environment

• Ability to follow directions, direct a team of peers, and ensure quality of
work is maintained

• Strong organizational skills and attention to detail

Travel

Travel required is less than 5%


Physical Requirements & Working Conditions

• Climb in and out of tractor-trailer units

• Lift up to 50 pounds

• Able to work irregular hours and in a variety of temperatures and
weather conditions

• Stand for extended periods of time

• Operate a forklift or material handling equipment

• Bend, stoop, and twist

• Climb ladders
