Job Description

The Tenant Manager is responsible for the dedicated management of tenant relationships and ensuring compliance with lease obligations within Pilot's real estate portfolio. This role serves as the primary point of contact for assigned tenant groups, facilitating smooth operations, addressing tenant requests, and contributing to the overall efficiency and profitability of the managed properties. The position plays a critical role in shaping strategy, managing legal risk, and ensuring compliance across the enterprise.

  1. Maintain updated tenant contact lists and accurate lease data.
  2. Know, understand and ensure compliance with tenant lease obligations.
  3. Establish and maintain ongoing communication with tenants, serving as their primary point of contact.
  4. Administer leases for assigned tenant groups including assignments, renewals, extensions, terminations, etc.
  5. Manage and negotiate tenant requests such as facility improvements, subordinations, financing documents, etc. and coordinate the same across the organization.
  6. Facilitate new tenant onboarding including collection of information and coordination across internal teams to confirm financial and reputational background.
  7. Reduce enterprise risk by developing and managing processes and standards for tenants and site inspections for the same.
  8. Use discretion and creativity in resolving tenant disputes.
  9. Support internal projects by ensuring Pilot’s contractual obligations to tenants on various properties and obtaining consent and providing notice as necessary.
  10. Work closely with asset managers to manage tenants
  11. Manage vacancy and move-out/move-in processes.
  12. Coordinate with internal teams to develop strategies for vacant tenant spaces.
  13. Use discretion in administering leases with respect to tenant defaults and manage evictions as necessary.
  14. Analyze tenant performance and risk factors and make recommendations regarding the same.
Qualifications
  • Bachelor degree preferred.
  • Experience with tenant relationship management preferred.
  • Strong organizational and communication skills
  • Ability to effectively resolve disputes and manage tenant expectations.
